Welcome to the 2026 BC Sport and Wilderness Show Exhibitor Kit


ATTENTION EXHIBITORS:

  • Every exhibitor on the show floor needs to wear a high visibility vest during move in and move out, no exceptions.  Please bring enough high vis vests for you and your staff.  Vests will not be supplied or available at the venue.
  • No children (under 16) are allowed on the show floor during move in or move out as it is considered a construction zone during these times
  • Your booth comes with drape only (varies depending on booth size and location).  It does not come with any furnishings, carpet, or power.  You must order these items individually for your booth as needed.  Please see ordering instructions in #4 - Electrical and #5 - Decorator sections below.

Exhibitor access to the show floor is only allowed 1 HOUR prior to show open on show days with the exception to opening day.  You must have your exhibitor badge to enter the building.

#2 - EXHIBITOR BADGES

All exhibitors need to display their badge on show days to gain admittance to the show floor. 

Exhibitors are given the minimum number of badges allotted to their booth automatically (see chart below)  with no form needing to be filled out. If the number of badges needed for your staff doesn't exceed the amount shown below, then simply have your staff check in at the Show Office or before the show to receive their badge.

Please note that badges do not display exhibitor or company names but there is room to put in your personal business card. 

100 square feet=5 free badges
200 square feet=8 free badges
300 square feet=10 free badges
400 square feet=12 free badges

Each additional 100 square feet gets an additional 2 badges.

If you need more than the number of badges allotted to your booth, please fill out the   Exhibitor Extra Badge Form and send to Marla at marlak@mpeshows.com no later than February 13, 2026. 

DO NOT LEAVE YOUR BADGES IN YOUR BOOTH as you need them to gain access to the show floor. Replacement badges are $10 each if lost, left at home, left in booth, a dog ate them etc. 

#3 - INTERNET

 

Basic WI-Fi is free at Tradex.  Tradex cannot guarantee the quality of the free wifi service.

Any other internet requirements can be ordered directly from the venue HERE.

#4 - ELECTRICAL, BANNERS, HVAC

 

Wild Coast Power & HVAC - CLICK HERE to order your services.

 

Wild Coast Power and HVAC is the Exclusive Provider of Power, Rigging, Heating, Cooling for Tradex.  They are a licensed, bonded and insured electrical & gas contractor.

 

All orders must be received 14-days prior to the event - February 20th, 2026.  Any order placed after the cutoff is subject to a surcharge of 50%.

#5 - Decorator Services

 

Your booth comes with drape only (varies depending on booth location and size).  It does not come with any furnishings, carpet, or electrical services.  If you need these items, please follow the instructions here to order these for your booth location.

 

The BC Sport and Wilderness Show has partnered with Global Convention Services as our Show Decorator. Global will email exhibitors directly with information to sign up for their online ordering portal. Please keep an eye out for their emails and email address: abbotsford@globalconvention.ca

#6 - Shipping, receiving & Customs Forms

Beyond Borders Logistics and Consulting is the Show's official Transport and Custom's Broker. Please contact them at brian@beyond-borderslc.com or (905) 808-1006 if you require shipping or transportation. If you are planning to ship crates or items to the show, please be mindful of the following:

Tradex does not accept packages more than 2 days prior to the show. All packages and crates must be prepaid, labeled, and addressed correctly.

Global Convention Services is able to accept and store freight before the show should you need to ship anything earlier. Please note that Global is NOT a shipping or logistics company. This is a paid service and requires you to fill out forms, provide a waybill and have correct labels affixed to each item. Please contact Global Convention Services at 604-851-0224 EXT 1 or abbotsford@globalconvention.ca.

#7 - ENHANCE YOUR COMPANY’S ONLINE EXHIBITOR LISTING

Enhance Your Company's Online Exhibitor Listing

Maximize your business’s exposure and attract more customers by upgrading your exhibitor listing. As an exhibitor, you have a basic listing live on the website, and now you can Enhance It! This is included in the contracted space cost and is no additional charge. 

Within 24 hours, you will receive an automated email providing a link to elevate your listing. This link gives you the flexibility to make updates and changes to your listing as frequently as you like until one day after the show ends. Your listing will stay active for as long as you participate in the show.

#10 - SHOW INSURANCE

 

Proof of trade show insurance is mandatory. Please email a COI to Marla before February 13, 2026 - marlak@mpeshows.com. Your provider should be able to do this fairly quickly.

  • Insurance must include exhibitor/vendor or trade show coverage (speak to your provider to see if you are covered for this already, or if you need extra coverage)
  • Move in and move out dates must be included in your coverage
  • Liability coverage should be for a minimum of $1 million
  • We require that we are listed on your policy as additionally insured. Please ensure we are listed as:

#11 - MOVE IN and MOVE OUT

MOVE IN:

Wednesday, March 4th   
(By Appointment Only)
10:00am – 6:00pm

Thursday, March 5th   
(General Exhibitor Move In)
8:00am – 8:00pm

 

  • All Exhibits must be complete by 8pm on Thursday, March 5th.
  • Exhibitors may set up their display after 5:00pm Thursday, March 5th, however, please note that move-in doors will close at 5:00pm. Unloading after 5:00pm will be from the move-in door to your booth via dollies or carts.
  • Aisle carpets will be laid at 5:30pm Thursday. Absolutely no dollies will be permitted on the show floor after aisle carpets are laid down.
  • All freight must be shipped to the facility between Wednesday, March 4th & Thursday, March 5th (9:00am – 5:00pm)
  • Please contact Marla at marlak@mpeshows.com to make arrangements if you require time the morning of Friday, March 6th to setup your display.

 

MOVE OUT:

Sunday, March 8th            5:00pm – 12:00 Midnight

  • All Exhibits must be completely remove from the venue by 12am on Sunday, March 8th. No exceptions.

 

IMPORTANT NOTICES

  • Exhibitors will not dismantle, pack, or remove any part of their display until after the 5:00pm show closing.
  • To accommodate the take-up and removal of aisle carpet, vehicles will not be allowed to access or leave the Tradex for approximately 45 minutes, until the carpets have been rolled up and moved aside.  Please plan accordingly.
  • If freight is still on the show floor at 12am on Sunday night without informing the show management team of the arrangements, Show Management reserves the right to ship your freight with the Official Show Carrier (Beyond Borders Logistics & Consulting Inc.) with all costs being billed to the Exhibitor.

#13 - FOOD AND BEVERAGE

 

FOOD AND BEVERAGE EXHIBITORS:

  • Exhibitors wanting to sell food or drinks must also confirm with Tradex Food & Beverage Management prior to the event.  Please contact marlak@mpeshows.com to obtain Tradex approval.
  • Exhibitors are permitted to sell sealed food and non alcoholic beverages once approved by Tradex management.
  • All food must be from Fraser Health approved kitchens.
  • Branded water bottles are not permitted as giveaways

SAMPLING:

  • Food sampling can be no larger than 1oz.
  • Alcohol samples are not permitted.
  • Advise Tradex 30 days in advance as to how many booths you will be operating and the product you will be sampling.
  • If you would like food and beverage items to be used as a traffic promoter to your booth (i.e. coffee, soft drinks, bottled water, popcorn, cookies, etc.) please contact your the Food & Beverage Manager, Adnan Skeak at: askeak@tradexbc.com.

Facebook Event Reminder:
In efforts to protect potential joint customers from fraudulent events and scammers, we request that you do not create your own Facebook Event. This helps us manage ticket sales for the event, and ensures that our team are available to support both exhibitors and potential attendees with any questions, comments, or concerns that they have. Please feel free to reach out to your show manager or show marketing manager with your companies’ Facebook page and we can add you as a co-host to the official event.

#16 - TRAFFIC DRIVERS

Web Button: Increase traffic to your website with our free online button linking your customers to discounted tickets to the show. Let us know when our button is posted on your website, and we will email you an additional 10 free tickets to the show.

Promo Codes: Offer your Social media followers, clients, friends and family a discounted price on tickets by letting them know your promo code. You should have received your promo code automatically in an email that was sent out.  If you don't see this email, reach out to Marla Kimball for more information.

As per our privacy policy, Marketplace Events is a permission-based email sender. We do not share, rent, or sell any email lists. 

We strongly recommend that all exhibitors be extremely vigilant when it comes to giving your information to any company that you are not familiar with. If you have any questions about whether or not a company is warranted in reaching out to you regarding your participation in the Show(s), please don't hesitate to reach out to your Exhibit Sales Consultant
